In the organization that you are currently employed in, Management has noticed flat lining figures in sales for the first quarter of the year. Further examination revealed that this trend seems to repeat itself with lower than expected sales figures for the last three years. Management decided to hire a management consultant to review management practices. His recommendations were among other things that: 

1 There is lack of coherent approach to managing staff expectations 

2 Little or no effort to get staff to understand their roles in detail since the organization did not have written down job  description, objectives, man specifications and detailed job analysis.

3 As a result of the first two, staff are often de-motivated because tasks are often handed out by supervisors in a way
that are not planned for.
In order to address some of the concerns noted above, your manager who knows that you are currently studying for
HNC in business management has requested you to produce detailed documents that will be used by other
employees to standardize documents used in the organization.


In the first part, you are required to write down a detailed job description for your own job that addresses the following: 

(a) Develop a set of own responsibilities and performance objectives. Your own work place may be considered. 

(b) Evaluate your own effectiveness against the defined objectives for task a(1.2) 

You are then required to review the organization’s appraisal system and link it to the job description and objectives you have written so far. Be sure to; 

(c) Make recommendations for improvement to the appraisal system and to (1.3) 

(d) Review how motivational techniques can be used to improve quality of performance by all employees in the organisation. (1.4)


Quality Standards as given by ISO 9000, BS and others recognise that communication of standards should  be agreed at all levels in the organisation in order for the system to become operatinalised successfully. In +the fabrics manufacturing processes, the quality related problems are:

In the absence of management and machine operators agreement, the operative does not know what is expected of him or her, becomes frustrated, and may resign giving rise to needlessly high labour-turnover and training costs of new employees. In addition, workers tend to report late at work citing different problems affecting them. This happens at the start of the shift as well as during the mandatory break periods. This is a real issue costing the company huge sums of money in time wastage.The next part of the report is for you and the team to be able to explore and develop your interpersonal and transferrable skills. 

You are thus required to produce a report on how you intend to ensure that management and staff work together to: 

(a) Develop solutions to work based problems for example, how they will ensure that all operators understand  what is required of them. (2.1)

Imagine you are soon taking up a position of a Trainee Manager within the organization you are currently employed in. The company has just published its half year’s turnover which is 30% less than targeted for the year. There are many reasons attributed to this poor performance. Some of these reasons are due to environmental changes responsible for low sales volumes, low staff morale due to the fact that the resourceful staff often double up in various capacities in the organization. The organization has applied for a processing standard with ISO 9000 quality  system that will allow them to export products to other parts of the world as part of their market development  strategies. Mr John Smith who is the Director and owner of the organization has no knowledge of producing plans that the ISO 9000 team need to review for the purpose. You have been given the task of producing the relevant documents by your employer that the team will check. One task necessary is produce job descriptions that specifies responsibilities, Skills set required and objectives of your own job. You would need to prepare documents in four parts that examines your responsibilities, interpersonal skills, ability to work in groups, and be able to solve a variety of problems. 

In this part of the report, you are required to demonstrate your understanding of the importance of working with  others in a team which could be in a manufacturing setting, project or department within the organization.

(a) Explain the roles people play in a team and how they can work together to achieve shared goals.(3.1)

In this present era, globalisation; technological development and the increasing level of the competition shifts the global economy. Therefore, to grab the attention of the customers with more effectiveness and to achieve the competitive advantage, it is important to have practical employability skills among employees. Recent job market wants more employability skills from their employees so that they can maintain the sustainability. Therefore, private, third sector and public employers are looking for the candidates who are dynamic, flexible in nature and can undertake various tasks in different markets. This assignment is intended to describe the employability skills for the River Island, which is one of the high street fashion brands of the UK.

Task 1:

a) Own responsibilities and performance objectives (1.1):

As a business admin, there are different responsibilities and roles that I need to performin most efficient and appropriate manner. As a junior business admin in the River Island, my main tasks is to provide the supports regarding the employee and customer supports, research on the archived reports, keep all of the computer databases updated, follow up the communication process regarding the business etcetera. Therefore, in order to be a business admin preparation ofdifferent business related documents is important. As a junior business admin of the River Island, I also help the main activity admin to prepare all of theorganisation related documentation processes. Along with that, I also scheduled different events and meetings in my companies. To manage this huge responsibility, a self-management skill is highly important by which I should divide my overall responsibility and set the priority so that it can be done according to the priority of the job (McQuaid and Lindsay, 2014). Along with the above-mentioned responsibility, my main task is to maintain a directrelationship with themanagement so that management can get a clear picture regarding the present organisational performances in River Island. I am alsoassociated with the decision-making processes with my decision-making skills. Securing the employment rights and follow all of the workplace-related ethics is myother job responsibilities.

My performance objective is to achieve practical skills regarding business administration so that I can take effective business-related decisions and conduct all the responsibilities with more effectiveness. To achieve this business objective, I always assess and compare my performance with the other employees who are associated with the same responsibilities so that I can understand my weaknesses to achieve performance objectives and improve the chances to achieve performance objectives (Houston, 2015). My other objective is to improve the emergency handling skills and prioritise my responsibilities with more effectiveness so that all of the responsibility can be performed effectively. 

b) Own effectiveness against the defined objective (1.2):

To assess own effectiveness, I have different performance appraisal techniques that help me to understand the exact level of performance of mine. I have observed that after taking the performance related objective and acting on that to achieve this, my salary level and bonuses have increased. This isone of the clear indications that I am performing well in my company River Island. I have worked very hard to achieve the performance objective that increases different promotional strength, such as the capability to communicate more effectively, presenting all of the business data in a more effective format so that it can help River Island to make their business related decisions with more efficiency. I have observed that I am well capable of working with another team member so that we can achieve the team goals with more effectiveness. Along with that, I have observed that my skills are effective to prioritise all of the responsibilities and perform it accordingly.Although, during working with my team working I have noticed that my team partners are not well adjustable that creates huge problems to handle the team. However, I have observed that I am currently facing huge problem to handle the emergency situations. Along with that, I have faced some problem to present the actual condition in front of the management. Though my analysis skills are sufficient to describe thesituation, but I have faced problem due to insufficient presentation skills. Therefore, I feel that I need some training to handle an emergency situation and improve the presentation skills

c) Recommendation for the improvements (1.3):

I feel that there are certain techniques that can improve the current level of skills. Continuous training is one of the techniques that can enhancemy presentation skills with more effectiveness(Morley, 2011). I think that our organisation River Island must take possess some interactive role to identify the drawbacks among their employee and provide training to employees so that the current level skills of employees can be enhanced. Along with that, I think that some interactive conversation with the senior business admin of River Island can enhance my skills with more effectiveness. This technique is one of the best techniques that can enhance the emergency situation handling capabilities. This honest conversation with seniors can help me to understand the different smaller level of aspects regarding my role and helps me to strengthen my capabilities with more effectiveness (Holmes, 2010). Along with that, it also helps me to resolve some of my minor issues that I faced to make the business report. For engaging the entire worker in a team, River Island must create a collaborative and innovative work environment so that it can create an effective and strong bond between employees that resolves different teamwork related issues in the workplace.

d) Reviewing the utilisation of the motivational technique that can improve the quality (1.4):

As stated by Williams (2012), quality improvement is directly associated with the employee motivation. Therefore, River Island must have some effective motivation technique such as fair remuneration and incentives strategy to motivate their employees. Different types of wise motivational techniques immensely increase the motivational level of the employees. There are several motivational theories by applying which River Island can effectively motivate their employees (McArdleetal. 2015). By implementing the Maslow’s need hierarchy theory, River Island can understand the basicneeds if their employees and fulfils that to motivate their employees. Moreover, by applyingtheHerzberg’s motivational theory, River Island can enhance the satisfaction among employees and drives them in greatest extent (Nohriaet al. 2011). Along with that, the management of River Island can implement the participative leadership styles and involve employees in the decision-making the process so that they can be motivated towards their work (Rosenberg et al. 2012). Practical and interactive relationship with the managers can also motivate employees. If it is seen that managers can recognise employee's capability in greatest extent, then it can highly motivate the employees. 

Task 2:

a) Developing solutions of the workplace based problems (2.1):

From the case study, it is observed that the manufacturing team of the River Island can face different quality regarding problems such as sizing defects, and defects regarding colour, sewing and fabric. It is seen that due to the absence of the agreements between the machine operators and themanagement; the operators have less amount of knowledge regarding their job responsibility. This scenario frustrated operators and increase the employee turnover. Therefore, to provide appropriate knowledge to the operator regarding their actual job responsibility, the management must maintain the effective communication with them.Ineffective communication, in this case, can generate misinterpretations, which may createwrong results. Along with that, it is also important for the management to provide regular training to the operators’so that they can increase their existing skills and feel confident to work with new machinery in the organisation premises. Management must implements some approaches, such as providing sufficient incentives and remuneration, involve different interactive session with them and recognising their capabilities to engage the operators so that they can feel motivated towards their work. This strategy decreases the employee turnover in the company. To motivate the operators, it is important for themanagement to identify a problem that the operators are currently facing. Theneffective strategy needs to be implementedthat can resolve the problems regarding the operators and helps the organisation to the operator in work (Govaertset al. 2013). In this process, the management must develop some specialised remuneration strategy that can motivate the players. Moreover, recognising their job by the management is also important to reduce this enormous employee turnover.

b) The ways by which the communication can be improved by utilising varieties of tools (2.2):

Different communication methods must be adopted by themanagement of the River Island to communicate with several levels of the corporate governance. For communicating with various level of employees, themanagement mainly follows the verbal and nonverbal communication skills (Mohr and Spekman, 2014). The higher level management of River Island communicates the board members by arranging different formal meetings. These communications help thehigher level management to maintain the professionalism and this communication method also helps themanagement to take effective business-related decisions. The higher management also utilised the ICT as one of the communication media

On the other hand, the higher level of management communicates the middle-level managers through the business conference as well as presentation. Along with that, the higher level management also communicates through the mailing process (Schweiger and Denisi, 2010). However, the higher level management does not communicate the lower level staff directly; they mainly circulate the information to middle-level management so that they can send the information to the lower level staff. To describe the lower level staff, the medium level managers follow both the responsiveness and openness. The communication process also involves different informal as well as formal feedback to the employees so that they can improve their current level of performances.

Lower level staffs are mainly informed by showing the information on the notice board. For the improving, the communication method, the management of River Island also communicates their lower level staff through their websites. However, the top level management regularly communicates the designers of their company so that they can view and control the designing procedure of their organisation. In this case top level management mainly follow the verbalcommunicationmethod (Plsek and Wilson, 2013). Oral communication methods are useful here because it decreases the redundancy among the employees. As River Island also has a retail unit so that effective communication with the customers is also necessary. For communicating with the customers, the lower level staffs follows both the verbal and non-verbal. In this communication process, effective non-verbal communication is mustbecause it emphasises the verbal communication and helps the customers to interpret the right messages with more effectiveness.

c) Effective time management strategies (2.3):

Time management can be defined as the process to plan and exercise the conscious control of the time, so that any work can be completed with more effectiveness. Time management can help the River Island to maximise the total benefits by managing all of the work related activities within a stipulated period. Therefore, time management strategies help to increase the effectiveness of any process and reduce the cost of operation (Malmi and Brown, 2012). Any time management strategies mainly utilised different types of techniques, skills as well as tools that resolve the workplace related problem by below mentioned ways: 

Effective time managementstrategy first divides the complete tasks into several parts and then it is prioritised according to the urgency of those jobs. After prioritising those jobs, River Island assigns their human resource to perform all of the tasks according to the priority of the job. River Island must do the task that has the highest priority need to be done first, then the job that has low priority (Plsek and Wilson, 2013). During setting the priority of the job, the time to achieve the job needs to be defined so that it can be achieved in the right time. Another type of the time management skills is the decentralised the tricky and the complex jobs. If order to complete any job with effectiveness, it is important to identify the time-consuming tasks, and then more human resource needs to be assigned in that position to complete the entire job within the time (AnxoandBoulin, 2011). For completion of any job within the time, it is important to work with more efficiency and as per the time associated with the job.

a) Roles of people in team to achieve goals (3.1)

As per the present condition in the given scenario, the imposition of responsibilities needs to be segregated by the manager or the leaders. It’s their duty to divide the tasks based on the criteria and allocate it to deserving employees (de Guzman et al. 2013). In this challenging period organisation needs to imply shared venture towards organisational motivation. In shared goal duty of every individual would be equal and they need to be co-operative to each-other. However, environmental challenges are also hostile in this regard. Therefore, it is relevant that every team has specialised members in every particular criteria. Thus, job allocation needs to be done based on that. The co-ordination among all the members depends on the job satisfaction and the relative factors of motivation and work. Moreover, the proper knowledge of producer on the associating matters are also inevitable to foster advancement for the organisation. People play combined role here to meet their target. The job roles generally rotate to improvise performance. People in a team may get accompanied with advocating and striving through the needs of customers to accomplish the target. Goals of an organisation once set its responsibility of the team members to manage the entire things accordingly. All the members are imposed with specific tasks that they are intended to perform by in a synchronised way. It is motivation and satisfaction of job that helps contribute every individual skill in a combined way. Thus, to accelerate a team, co-operative attitude might be there.

Other may be appointed to share knowledge with their group members. All the responsibilities are designed up accordingly to the specified goal. An employee here may get engaged in expanding the internal resources. Other may be skilled member and can work in improvising higher quality to the scheduled work (Mooreet al. 2014). Someone may be the decision maker and can play role in accordance with the selected goal. The power of taking initiative and ability to enterprise along with perfect planning for its organisation with self-management skill can initiate growth of the organisation. The skills and ability of proper learning on the inherent subject and its implication through the adoptability of technology are the factors of rapid advancement for an organisation.Skilled or semi-skilled member may be in the group. It is responsibility of the decision maker to help segregate the duties accordingly. An employee if skilled in problem solving matters can take responsibility of the internal issues.

b) Analysis of the team dynamics (3.2):

Group dynamics have direct impact with the productivity of the organisation. The achieved target gets hampered or the productivity gets affected by the individual behaviour and carelessness of every role in the team. The team dynamics are basically some collection of psychological forces and impact of the unconscious behaviour. It directly inclines the combined performance of the team.Dynamics get created by the specific nature of team that the individuals are associated with. It is further associated with the personalities in the team and the relationship between the other people (Bensonet al. 2014). It can impact in negative and positive way both.Dynamics can give birth to the unproductive conflict situations. It might cause demotivation or interrupt the motivating sources from intending to team encouragement.There are psychological models that details about the specific criteria of team dynamics.Team dynamics can be defensive that is termed to as psychoanalysis. It basically defends individuals of a particular group. 

The human elements like inclusion, open-mindedness or power of control can also be seem as dynamics in a team. Team dynamics can be identified by focussing on the forces of influencing the behaviours of a team: roles of the team, used mode of technologies, mediums of depicting culture or procedures and specific methodologies.Team dynamics associates the behavioural relationship among the members of the team. Therefore, a good connection between all the members based on the specialised skill they are associated with is inevitable. To intend prosperity through joint venture of a team, it is indeed required to foster the accompanied sources. Motivation is inherent in keeping up co-operative attitude. Therefore, a collaboration of culture and particular practice might work in achieving the target or the goal that is set by the organisation.

c) Suggestion for alternative ways in attaining goals of team (3.3)

Establishment of team policies may help in building proper culture among the team members. The specification of guidelines will definitely help employees having a well-rounded vision and sincerity towards the achievement of goal.

Assignments of every particular role in clear and lucrative manner help impose the responsibility. This makes employee feel interest for their job and gets motivated towards combined work.Evaluation of the job roles of every particular employee is very necessary. The strength as well as weakness analysis of employee might help in proper evaluation. This helps in cheering up the motivation of them (Deanet al. 2013). On the other way, an assessment of the job rotation can also be drawn out from this. An estimated success can also be developed from this analysis.Regular feedback on job performance can help in assessing the employees their areas of improvements. This is beneficial for the company in the sense that it intend to the easy meet up of the targets (Jackson, 2014).

Holding the employees accountable for the specific commitments is very much in need. Thus the policies should be focussed on the areas that are in need with the specific target and the barriers that can come up as interruption in fulfilling the specific requirement.Mitigation of the related barriers like financial limitations, challenging mode of information technology creating constraint in getting relevant information will be helpful for the prospect of the particular organisation.

In order to achieve a goal brainstorming among the team members is essential. Set of new policies in accordance with the target and goal of the particular organisation needs to be designed in a synchronised way. Thus, it needs a proper analysis of all the related matters. A thorough investigation on the attitude of the team members and creating influential activities to cheer up their internal instinct will be helpful in being co-operative. This will indignantly be helpful for the achievement of settled goal.

a) Evaluation of the tools and methods to develop solution for problems (4.1)

Mind tools will be relevant in solution of the problems that take place in a team, because it is associated with the psychological issues mainly. The team management procedure and leadership approach needs to be going in accordance to the individual skill and culture that the members are specialised with.This intends a keen inhabitation of the problem solving skill and quick deliverance of the decision making process (Jones, 2013). The decision matters a lot in delivery of a particular project. Therefore, in solving problem this stage needs to be very judgemental and implicit in manner.

In this recession period of organisation, the skill must be imposed with project management qualities. This management if gets partial, and preferably takes care of skilled members only, it deliberately fails to attend a successful completion of activities.There needs to be a subtlety in time and stress management too. These basic tools are initiative towards a successful accompaniment of all the participants. The method inclined in this process is definitely the focus on identification of the problem. By determining the route issue, management can easily get to have a protective employee base. If the organisation faces problem from any of a member regarding internal conflict of the employees, strategic adoption needs to be devised in accordance to the specific demand of the organisation.Organisational management should think about the employee motivation that can supply with proper efficacy and equalisation to the employees. Thus improvisation initiative needs to be taken (Jollandset al. 2015).The prospect of the organisation then would be focussed on priority and the essence of the situation. Motivation can be of different type and that differentiates in requirement of the employees too. To console the enraging agitation between the employees equalisation of payment can be initiated by the employees. In case if the agitation is regarding the execution of skill, there might work the incentive system that can warm up the employee contribution.

Time period is also an important fact. There might be a fixed schedule for every employee in organisation. This would be helpful for escaping negative impact in employees. If an employee works for 8 hours a day and another in the same group for 10 hours but they earn same salary, this would definitely impact in negative ways. Adopted strategy has to deal with multidimensional situations that are prevailing on the onset of the particular organisation (Singhet al. 2013). Various situations that control the business transactions can interfere in implementation procedure.Implementation should go parallel with the vision and ultimate destination of the organisation. In order to intend technological advancement implementation in the devices needs to be attempted so that it might foster employee motivation. On the other hand, implementation on the manifestation of the employee motivation might not hamper the profit margin of the organisation. Strategies should be planned for that. In that view incentive system will be more appreciable. The target fulfilment procedure can also be implied. This helps organisation getting fast movement and progress. It can be concluded that, the employability skills are manifested with a number of stages and it keeps on changing based on the demand of situation. Employees must be adoptable with the key features of the changing perspective of business world. Regardless of the influence of different countries, employees need to adopt specification in applying their role. Their roles should be rotated to have a successful promotion in the industry. Furthermore, it has also become clear from the above analysis that within an organisational context, employees need to be a team player. Without being a team player, working and improving own skills are quite difficult in any industry.
