Answer

Project Management to be effective has to be a combination of knowledge and skills and make use of various tools and techniques to perform the project activities in order to achieve the desired outcome from the project (PMBOK, Pg 47). The various processes involved in project management ensure that there is effective flow of activities throughout the life cycle of the project. The PMBOK Guide divides the project management process groups in five categories as follows:

  1. Initiating Process Group
  2. Planning Process Group
  3. Executing Process group
  4. Monitoring and Controlling Process Group
  5. Closing Process Group

Initiating process Group: This is the first process group in project management and consists of activities that defines the new project. It helps in defining the scope of the project and identifies the resources that are allocated to the project (Yada, 2017). Considering the case study of Uber upgrading their app for drivers (Madrigal, A., 2018), the initial group identifies that the objective of the project is to enhance the experience of the drivers and provide them a more user friendly and comfortable application to work with. The feedback from the drivers is the information that is to be incorporated in improving the usability of the app. The study of the feedback from thousands of drivers makes the engineers identify that they will have to rebut the driver app from scratch. 

The Initial Process Group also identifies the internal and external stakeholders of the project who will be influenced by the project outcome.  In the Uber case study the project outcome is the interaction between the complaints of the thousands of drivers and the software professionals who will work to provide solution to the problems. However, the customers are also the important stakeholder in this case and cannot be ignored. The security of the female riders and employees as well as confrontations with the drivers is also concerns of the project. The investors of the Uber company are the last but not the least important stakeholders who will be affected by the outcomes of the project. While project solution may provide a good and flexible working platform to the drivers, it has to ensure that the business is profitable to the investors in order to sustain. All the stakeholders of the project are identified to ensure the success of the project (PMBOK, Pg 54).

The process group uses various tools and techniques to perform the tasks. The group needs authorizations to start the work and collect data. Like in the Uber case study, the initiating process group needs to provide the feedback option and method to the drivers; which could be in form of messages or through driver websites and forums (Villanova University, 2019).  

The prime objective of the Initial Process Group is to align the expectations of all the stakeholders with the outcome of the project. The group by this motivates the stakeholders to participate in the project and shows them how the outcome of the project will meet their expectations. Thus the group helps in providing the project a vision on what is to be accomplished, in what resources and its impact on the stakeholders.
